The Ministry of Education, Culture and Science (OCW) publishes on its website OCW in Figures all important numerical information for their policy areas; education, culture, science and emancipation. The platform is intended as an accessible resource for key figures and policyindicators and refers to the underlying datasets at semi-public institutions.
The responsibility for managing OCW in Figures was previously internal, but updating key figures, processing data in the website and making sure indicators were delivered on time proved to be an extensive and specialised demand.
When 140 indicators had to be put online in 2023 for OCW's budget and accountability to the House of Representatives, it became clear: there was a need for project and process management, structure and development of current content. Voxx has now worked together for three years to manage, maintain and improve the entire website.
Website work structure and process optimisation

Different roles and responsibilities were first defined in an editorial model. Voxx has a coordinating role and ensures a project manager supporting and supervising all larger projects.
All key numbers are captured in a content calendar per policy directorate. Managing the process around updating and monitoring deadlines is therefore a lot easier. Via a collaboration space and online forms, policy officers can now easily submit data.
Our implementing partner Swink cares import work in PRO, the CMS of the central government; Voxx checks for clarity and completeness.

Where previously separate zipfiles and documents came in, Voxx introduced a standard briefing format and brought all files together in Prose, the ministry's collaborative environment.
This is now the one single place of truth, making control run smoothly and cooperation much more efficient.

During a brainstorm we also discussed the desire for a dashboard for the budget cycle. Due to time constraints, Voxx together with policy and at iterationve way to a alternative: a clear monitoring matrix which was cost-effective and achievable before Budget Day.
This concept was then presented to the management Financial-Economic Affairs (FEZ) and later to the Best board. With much positive feedback.
On cooperation with OCW in Figures
Cooperation with OCW in Figures is intensive and focused on improving the work processes and website. With weekly meetings for ongoing issues and quarterly reviews for points for improvement, efficiency and improvement of findability and accessibility of data are continuously worked on.
Voxx forms a flexible link in the cooperation. We work unburdening, advising and are creative in coming up with new solutions.
